Terms of Service

These Terms of Service ("Terms") govern your access to and use of TrustPanel (the "Service"), operated by DM Media Solutions Ltd, United Kingdom ("TrustPanel", "we", "us"). By creating an account or using the Service you agree to be bound by these Terms.


1. The Service

TrustPanel is a review-management platform that allows businesses to collect, display and respond to customer reviews across connected platforms (e.g. Google Business Profile, Trustpilot, Facebook, Yelp, Booking.com), to embed widgets on their own websites, and to draft replies with AI assistance.


2. Accounts

  • You must be at least 18 years old and able to enter into a binding contract.
  • You are responsible for keeping your password secure and for all activity on your account.
  • You must provide accurate billing information and keep it up to date.
  • You must not share access to a single account across multiple businesses or organisations unless your plan expressly permits it.

3. Subscriptions, billing and renewals

  • Paid plans are billed annually in advance via Stripe and renew automatically each year until cancelled.
  • Prices are shown exclusive of any applicable VAT or sales tax, which will be added at checkout where required.
  • You can cancel auto-renewal at any time from your account; cancellation takes effect at the end of the current billing period.
  • Except where required by law (including the UK Consumer Contracts Regulations for consumer purchases within the 14-day cooling-off period), fees are non-refundable.
  • Optional AI top-up bundles and AI add-on subscriptions are billed separately as set out in the Service at the time of purchase.
  • If a payment fails we may suspend or downgrade your account after reasonable notice.

4. Free plan

Where a free plan is offered, we may change its features, limits or availability at any time. Free-plan accounts that remain inactive for 12 months may be deleted after notice.


5. Connected platforms

When you connect a third-party platform (Google, Trustpilot, Facebook, Yelp, Booking.com, etc.) you authorise TrustPanel to read reviews and, where supported, post replies on your behalf. You remain bound by the terms of service of each connected platform and you are solely responsible for the lawful use of those platforms. We are not responsible for changes, outages or restrictions imposed by third-party platforms, including rate limits or API access being withdrawn.


6. AI features

The Service includes AI-assisted reply drafting powered by a third-party large-language-model provider. AI output is provided "as is" and may contain inaccuracies. You are solely responsible for reviewing, editing and approving any AI-generated reply before it is published. AI usage is subject to your plan's monthly quota and any add-on credits you have purchased; unused credits do not roll over unless expressly stated.


7. Your content

You retain ownership of all content you upload or import into the Service, including business information, logos, customer reviews and reply drafts ("Your Content"). You grant TrustPanel a non-exclusive, worldwide, royalty-free licence to host, process, display and transmit Your Content solely to operate and provide the Service to you. We do not use Your Content to train AI models.


8. Acceptable use

You must not:

  • Use the Service to publish fake, fraudulent or incentivised reviews, or to manipulate the rating of any business including your own.
  • Use the Service in a way that breaches any connected platform's terms (for example, Google's prohibition on review gating).
  • Upload content that is unlawful, defamatory, infringing, harassing or that contains malware.
  • Attempt to reverse-engineer, scrape, overload or interfere with the Service.
  • Resell or sublicense the Service without our written agreement.

We may suspend or terminate accounts that breach this section without refund.


9. Intellectual property

The Service, including its software, design, branding and documentation, is owned by TrustPanel and is protected by copyright, trade mark and other intellectual-property laws. We grant you a limited, non-exclusive, non-transferable right to use the Service for the duration of your subscription.


10. Availability and changes

We aim to keep the Service available 24/7 but do not guarantee uninterrupted access. We may modify, suspend or discontinue features with reasonable notice. Where we discontinue a paid feature you are actively using, we will offer a pro-rated refund of the affected portion of your subscription.


11. Disclaimer of warranties

The Service is provided "as is" and "as available". To the maximum extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the Service will be error-free, secure, or that AI output will be accurate.


12. Limitation of liability

To the maximum extent permitted by law, TrustPanel's total aggregate liability arising out of or relating to these Terms or the Service is limited to the fees you paid us in the 12 months preceding the event giving rise to the claim. We are not liable for indirect, incidental, special, consequential or punitive damages, including lost profits, lost data or business interruption. Nothing in these Terms limits liability that cannot lawfully be limited (e.g. for death or personal injury caused by negligence, or for fraud).


13. Indemnity

You agree to indemnify TrustPanel against any third-party claims arising from Your Content, your use of the Service in breach of these Terms, or your breach of any connected platform's terms.


14. Termination

You may terminate your account at any time from the Service. We may suspend or terminate your account immediately if you materially breach these Terms or if required by law. On termination, your right to use the Service ends and we may delete your data after a reasonable retention period as set out in our Privacy Policy.


15. Changes to these Terms

We may update these Terms from time to time. Material changes will be notified by email or via a prominent notice in the Service at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance.


16. Governing law

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute, except that consumers may bring proceedings in the courts of their country of residence.
